We welcome you to host your next conference, meeting, and/or event in our technically up-to-date facilities. We have several spaces to offer that vary from classrooms to conference rooms, to our own Dojo and an outdoor labyrinth. Our facilities can host small to large groups in both indoors as well as outdoors. In addition, we provide equipment rental and support services for your events at a reasonable price.

All Classrooms have built-in LCD projectors, screens, white-boards.

Auditorium: stage, basic lighting and sound system. 1059A: a small stage. Overhead is one-time management cost.

Guidelines

To ensure a successful event, please comply with the guidelines and procedures administered by Sofia University.

Non-standard guidelines

Sofia University can impose additional requirements or set special Facility License Agreements, whether or not expressly provided herein, which may be necessary to the operation of the facilities. Any such additions are binding upon licensee, provided they are incorporated into the specific agreement or an addendum and signed by the licensee and Sofia University.

 

Procedures of Use

Additional Usage Hours

Events at Sofia University can be held any day of the week at any time. Please take into account that if the event starts before or after school hours, overtime must be calculated for security reasons.

School hours are Monday to Friday from 8:30 AM to 10:00 PM. Saturday and Sunday from 9:00 AM to 4:00 PM. Overtime will be charged at $50 dollars per hour (4 hours minimum) if event hours go outside of the school hours.

Staffing

Sofia University is responsible for determining the university’s staffing levels and assigning all staff for events. Additionally, Sofia University will determine the need for security personnel, who must be provided at the renter’s expense.

Providing Food During your Event

Renters may serve complimentary food or beverage at Sofia University with the written consent of the Public Program Director.

The safety of our patrons is a serious concern in the serving and preparation of food at Sofia University. For this reason, all food served on the premises must be prepared by a caterer or a kitchen licensed by the Health Department. All food must be cooked outside the Sofia University building.

Please keep storage containers, boxes, bags, dry supplies, bottles and glassware out of public view. Renters should plan to provide containers appropriate for all supplies, including ice, as Sofia University does not provide these items.

Catering Services Set Up

If you would like to have catering services you need to obtain a certificate of insurance with the following:

  1. $1,000,000 general liabilities with additional insured endorsement that names Sofia University.
  2. $1,000,000 commercial auto liability that names Sofia University as a certificate holder.
  3. Workers compensation including 1,000,000 employers liability that shows Sofia University as certificate holder

Caterers may set up at least an hour to 30 minutes before needed if there is space to do so at Sofia’s facilities. Set up and clean up outside of the agreed-upon period may result in additional charges.

Catering Services Clean Up

Caterers need to remove all food and supplies following the event, no later than the contracted event period. Renters are responsible for completely cleaning and restoring all Sofia areas that were used. Caterers need to clean up all food service areas both during and after service. Renters are responsible for restoring all Sofia areas to the same general condition in which they were found.

Alcohol Services

If alcohol is going to be served, renters must obtain a Special Occasion Liquor License and additional security must be hired.

 

Insurance Requirements

Renters are required to provide insurance with a limit of not less than One Million Dollars ($1,000,000.00), inclusive, per occurrence for bodily injury and property damage including loss of use. Such insurance shall extend to cover the renters’  officers, employees, servants, agents, contractors, and volunteers and shall include Sofia University, its officers, employees, servants, agents, contractors and volunteers as additionally insured with respect to liability arising out of the use or occupation by the renters of all the property belonging to Sofia University.
